Privacy Policy

This Privacy Policy governs the collection, use, disclosure, retention and safeguarding of personal information by R.E.A.D. Inc., carrying on business as Altiora Academic Partners ("Altiora", "we", "us" or "our") in the course of its commercial activities, including the operation of altioraacademic.com (the "Site") and the provision of educational placement and advisory services (the "Services"). This Policy is issued in accordance with the Personal Information Protection and Electronic Documents Act (Canada) ("PIPEDA") and applicable provincial privacy legislation.

1. Accountability and contact

The organization accountable for personal information under our control is R.E.A.D. Inc., carrying on business as Altiora Academic Partners, having its registered office at 45 Karl Fraser Road, Unit Q001, North York, Ontario M3C 0E5, Canada.

All privacy enquiries, access requests, complaints and withdrawals of consent must be addressed in writing to the Privacy Officer through the contact form at www.altioraacademic.com/#contact. We will acknowledge receipt and respond substantively within thirty (30) days as required by PIPEDA, or provide written notice of any permitted extension.

2. Categories of personal information collected

In connection with an enquiry, application or placement, we may collect: (a) identifying information of the prospective student, including full legal name, date of birth, nationality and passport particulars; (b) academic information, including current institution, transcripts, predicted or awarded grades, standardized and language test results, references and disciplinary records where disclosure is required by a receiving institution; (c) contact and relationship information of the parent or legal guardian; (d) financial and logistical information reasonably necessary to assess suitability, including declared budget range, intended duration of study and guardianship or homestay requirements; and (e) correspondence exchanged with us through any channel.

In connection with ordinary use of the Site, we collect only such technical information as is strictly necessary to deliver the Site securely. Optional analytics, which are activated solely where affirmative consent is given through the cookie banner, generate aggregated and de-identified usage statistics.

3. Purposes of collection, use and disclosure

Personal information is collected, used and disclosed for the following identified purposes only: assessing candidate suitability; preparing, submitting and administering applications to institutions expressly designated by the family; communicating with families, institutions, guardians and, where instructed, immigration counsel; complying with legal, regulatory and contractual obligations; and maintaining accurate records of the Services performed.

We do not sell, rent, license or otherwise trade personal information. We do not use personal information for behavioural advertising or for any secondary purpose that is inconsistent with the purposes identified at the time of collection, unless further consent is obtained or the use is permitted or required by law.

4. Consent

Consent is obtained at or before the time of collection and is limited to the identified purposes. Where the personal information is that of a minor, consent must be given by a parent or legal guardian, or by an educational institution acting under documented authority from that parent or guardian.

Consent may be withdrawn at any time upon reasonable written notice, subject to legal and contractual restrictions. Withdrawal of consent may prevent us from continuing to provide all or part of the Services, and we will inform the individual of those consequences before giving effect to the withdrawal.

5. Disclosure to third parties

Personal information is disclosed only: (a) to institutions to which an application is made at the family's express instruction; (b) to service providers engaged to process information on our behalf under written agreements imposing confidentiality and security obligations no less protective than those set out in this Policy; and (c) where disclosure is required or authorized by law, including in response to a lawful order of a court or governmental authority of competent jurisdiction.

Where a service provider or receiving institution is located outside Canada, personal information may be subject to the laws of that foreign jurisdiction, including lawful access by courts, law enforcement and national security authorities.

6. Safeguards and retention

We maintain administrative, technical and physical safeguards appropriate to the sensitivity of the information, including access controls on a need-to-know basis, encryption in transit and confidentiality undertakings from all personnel.

Records relating to an admitted student are retained for the duration of the engagement and for a period of seven (7) years thereafter, consistent with Canadian record-keeping and limitation-period requirements. Enquiries that do not result in an engagement are securely destroyed within twenty-four (24) months of last contact. Information is destroyed, erased or rendered anonymous once the purpose for its collection is no longer being served and retention is no longer required by law.

7. Access, correction and complaints

Subject to the exceptions set out in PIPEDA, an individual may, upon written request submitted through the contact form at www.altioraacademic.com/#contact and satisfactory verification of identity, obtain confirmation of the existence, use and disclosure of their personal information, be given access to that information, and require correction of any inaccuracy or incompleteness.

Where a complaint is not resolved to the individual's satisfaction, the individual may refer the matter to the Office of the Privacy Commissioner of Canada.

8. Amendments

We may amend this Policy from time to time. The version in force is the version published on the Site bearing the most recent effective date. Material amendments affecting existing clients will be communicated directly.
